The Role

St Ursula's E-ACT Academy are looking to recruit an enthusiastic, outgoing and confident Academy Operations & Sims Administrator (AOA) to commence employment as soon as possible on a full time permanent contract (37 hours per week) to work with our existing AOA.


You will share the responsibilities for the Academy based operations, while working with the regional team in ensuring the key performance indicators of the operational service level agreements are met. You will also be responsible for ensuring a professional, effective and efficient office and reception service is in place, and providing support in the main school office when required.


You will need excellent organisational and communication skills and a keen eye for detail, and also understand the importance of confidentiality and GDPR regulations at all times within the role. Experience in a school administrator role is not essential, however experience in a similar role is desirable and a school administration background would be advantageous. The successful candidate must have a minimum of Maths & English GCSEs A-C or equivalent.


A brief snapshot of your duties are as follows:

  • To provide operational support in the academy.
  • Manage the SIMS system database for the academy, including maintaining staff and student details.
  • Assist academy staff with all operational queries and work with the key members of the regional operations team to ensure compliance and outstanding service delivery.
  • Maintain the academy Single Central Record database.
  • Be responsible for Academy staff training and update academy training log.
  • Pupil Admissions & leavers.
  • Assessment Manager – Create mark sheets, input data from Ks1 and KS2 SATs, Year 1 phonics and any other data that requires submission
  • End of year procedures – Setting up new academic year, setting pastoral structure for the year and ensuring pupils are promoted to their new class
  • Provide office cover as and when needed.
  • Manage and oversee the school dinner system and manage debt levels on a weekly basis.
  • To liaise and inform the Regional HR team of staff absences.
  • To support the regional team with the collation of information as and when required.
  • To provide effective clerical support to the agreed procedural standards to ensure the smooth running of the teams workload through: Filing, photocopying, reception desk cover (if needed), word processing/excel/office 36
